EVENT PROJECT MANAGER (CONTRACT) - Dallas, TX

 

POSITION SUMMARY: The Meeting Planner is responsible for all facets of the planning and on-site duties for assigned client meetings. These duties include, but are not limited to, budget management, strategic planning, third-party relationships and oversight of on-site execution teams.

 

Position Responsibilities:

  • Serve as point of contact to our clients, hotels, travel agencies, ground transportation companies and other related party vendors for assigned projects.

  • Consult with client(s) to identify goals and vision, establish direction and facilitate problem solving and overall event design.

  • Oversee and manage meeting and event budgets.

  • Travel to domestic and international locations to execute meetings and events.  

  • Design and manage event registration websites and RSVP lists

  • Manage site selection process using Cvent.

  • Negotiate contracts with various hotels, vendors and clients

  • Audio Visual Coordination

  • F&B Management

  • Vendor selection

  • Management of travel and transportation logistics

  • Create, maintain and manage detailed budgets

  • Post event review with clients

  • Resolving client issues as needed

  • Manage and maintain vendor and client relationships

  • Update job knowledge by participating in professional organizations

  • Travel – average of 25% annually

  • Other duties as needed

  • Prior experience in managing large-scale meetings is preferred

  • Prior experience working with RFP and/or Registration websites

  • CMP or CMM Preferred

  • BS or BA degree preferred

  • Highly ethical and of good character

  • Must have a valid passport

  • On-site management usually requires long periods of standing and extended work hours.
